1. Introduction & Scope
This Privacy Policy applies to the Chalkmore web platform (accessible at app.chalkmore.com) and the Chalkmore mobile application for Android (com.chalkmore.app). Both the web ERP and the mobile application are governed by this single, unified Privacy Policy.
Chalkmore is a school management platform (ERP) designed to connect school administrators, teachers, parents/guardians, and students in a single institutional ecosystem. It is not a general consumer application. All accounts are issued and managed by institutions (schools).
By accessing or using the Chalkmore web platform or mobile application, you acknowledge that you have read and understood this Privacy Policy.
2. Information We Collect
We collect only the information necessary to deliver the school management services described below.
A. Personal Identification Information
- School Administrators: Full name, institutional email address, phone number, staff ID, assigned role, and profile image.
- Teachers: Full name, institutional email address, phone number, staff ID, assigned classes, subject responsibilities, and profile image.
- Parents / Guardians: Full name, contact phone number, email address, physical address, and verified linkage to enrolled student accounts.
- Students: Full name, roll number, admission number, gender, date of birth, class and section assignment, parent/guardian linkage, and optional profile picture.
B. Academic & Educational Records
- Attendance Records: Daily attendance logs, timestamps, leave requests, and absence remarks recorded by teachers or administrators.
- Academic Performance: Exam scores, internal assessment results, report cards, grades, and teacher evaluations.
- Curriculum & Scheduling: Class timetables, syllabus progress, homework records, and exam schedules.
- School Notices: School-wide announcements, urgent circulars, and notice board content delivered within the application.
C. Fee & Financial Records (Informational Only)
The mobile application and web platform display school fee information for informational and record-keeping purposes. This includes:
- Fee category assignments
- Generated fee invoices
- Payment status (Paid, Pending, Overdue)
- Payment dates
- Fee receipts and records
Important: The current Chalkmore mobile application and web platform do not process online payments through the application itself. No payment card details, banking credentials, or financial transaction data are collected or stored by Chalkmore.
D. Communication & Support Data
- In-app institutional notifications and school notices
- Parent-teacher messages
- Support ticket submissions and feedback
- File or document attachments where the feature is supported (submitted through the device's standard file/document picker)
E. Technical & Device Information
- Device model and operating system (iOS / Android) — collected to support compatibility
- IP address — collected by the server for standard request handling and security logging
- Session and login timestamps — for authentication and security audit purposes
- Application error and performance logs — used exclusively for internal debugging and system stability
3. How We Use Your Information
All data collected through Chalkmore is used strictly for institutional, operational, and educational purposes:
- Core Platform Functionality: To provide personalized student dashboards, enable teacher attendance entry, display academic records, issue fee receipts, and manage institutional data.
- In-App Notifications: To deliver institutional notices, school announcements, attendance records, and fee information within the application to users who are logged in.
- Institutional Administration: To allow school administrators to manage staff schedules, track academic progress, generate reports, and administer student enrollment.
- Authentication & Access Control: To authenticate user logins, enforce role-based access, verify parent-student relationships, and prevent unauthorized access.
- System Support & Maintenance: To diagnose and resolve technical issues and respond to support requests.
We do not use your information for behavioural advertising, marketing profiling, or any commercial purpose outside the institutional ERP services described above.
4. Student & Child Data
Chalkmore is an institutional platform. Student accounts and child profiles are created exclusively by verified School Administrators or Parents/Guardians — never independently by children. All student records are scoped to the school institution and are accessible only to authorized personnel within that institution.
We never sell, rent, trade, share, or monetize student or parent personal information for commercial or advertising purposes.
Note: Chalkmore is designed to operate in a manner consistent with internationally recognized student privacy principles. The applicability of specific statutory regulations (such as FERPA or COPPA) depends on the jurisdiction in which the institution operates and requires independent legal assessment by the institution.
5. Information Sharing & Disclosure
We share user information only under the following limited circumstances:
- Within the Enrolled Institution: Student, parent, and staff data is accessible only to authorized users within the specific school instance to which the data belongs. Data is scoped to the institution at the database level.
- Infrastructure Providers: We use cloud infrastructure (Amazon Web Services — AWS) for hosting and storage. These providers act as data processors and do not have independent access to your personal data for their own purposes.
- Legal Requirements: We may disclose information if required by a valid law enforcement request, court order, or applicable legal obligation.
- No Third-Party Advertising Sharing: We do not share any user data with advertisers, data brokers, or marketing platforms.
6. Data Security
We apply standard technical and administrative security measures to protect data processed through Chalkmore:
- Transport Encryption: All communications between the mobile application, web dashboard, and our servers are conducted over HTTPS.
- Application-Level Encryption: The application uses AES-256-CBC for internal data encryption operations.
- Password Hashing: User passwords are hashed using the bcrypt algorithm and are never stored in plain text.
- Role-Based Access Control: The platform enforces institutional role boundaries — teachers access only their assigned classes, parents access only their own children's records, and administrators manage only their designated school's data.
- School-Level Data Isolation: All data queries are scoped to the school institution to prevent cross-institution data access.
7. Data Retention & Deletion
- Retention: School academic and administrative records are retained for the duration of the institution's active use of the Chalkmore platform, or as required by the institution's own record-retention obligations.
- Deletion Requests: Users (or authorized school representatives) wishing to request account deactivation or deletion of personal data should contact their School Administrator or submit a request directly to: privacy@chalkmore.com.
- Processing Time: Upon receipt of a verified deletion request from an authorized representative, Chalkmore will process the request within a reasonable timeframe, subject to any applicable legal obligations to retain records.
There is no in-app self-service account deletion button. Deletion requests are handled through the school administrator or directly via the privacy contact above.
8. Your Rights & Choices
- Access: You can view your profile information, linked student profiles, fee records, and academic data within the Chalkmore web or mobile application.
- Correction: If any personal or academic record is inaccurate, you may request an update through your School Administrator.
- Media Permissions: You can manage photo/media library access permissions at any time through your Android device's application settings.
- Data Deletion: See Section 7 above.
9. Mobile Application — Permissions
The Chalkmore Android application (com.chalkmore.app) requests the following device permissions:

Camera: The Chalkmore mobile application does not request or use the device camera. Users may optionally select pre-existing images from their device's media library (gallery/file picker). No camera capture functionality is present.
Push Notifications: The current version of the Chalkmore mobile application does not use native device push notifications. In-app notices and institutional notifications are delivered within the application when the user is logged in, retrieved from the server. No device push notification token is collected or transmitted.
10. Third-Party Services & Libraries
The Chalkmore application uses the following infrastructure and dependencies:

No analytics SDKs (such as Google Analytics, Firebase Analytics, Sentry, or Mixpanel) are present in the current application. No advertising SDKs are used.
11. Children's Privacy
Chalkmore serves K–12 educational institutions. The platform is designed to be used via school-issued accounts only. Student accounts for minors are created and managed exclusively by verified School Administrators or authorized Parents/Guardians. Chalkmore does not knowingly collect personal information directly from children without institutional or parental authorization.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date at the top of this page. Material changes will be communicated through the school institution or via an in-app notice where feasible.
